Barca Academy Australia (“we”, “our”, “us”) respects your privacy and is committed to protecting the personal information of participants and their parents/guardians in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains how we collect, use, disclose, and protect personal information, including sensitive information about children, and your rights regarding that information.
2. Scope
This policy applies to:
- Children participating in football camps and workshops
- Parents/guardians providing consent and information
- Website users, email inquiries, and other interactions with our club
3. Personal Information We Collect
We collect personal information necessary to run our programs safely and efficiently.
Child Information:
- Full name, date of birth, age
- Emergency contact details
- Medical and health information (allergies, injuries, conditions)
- Skill level and participation records
Parent/Guardian Information:
- Name, contact details (phone, email, address)
- Payment and billing details
Media and Visual Data:
- Photos, videos, or recordings taken during camp activities with explicit parental consent
4. Sensitive Information
Sensitive information (e.g., health or medical data) is collected only with parental/guardian consent and used solely to:
- Ensure the child’s safety and wellbeing
- Provide tailored coaching or care during the camp
- Comply with legal obligations
5. How We Collect Information
- Directly from parents/guardians via registration and medical forms
- During camp activities (e.g., attendance, participation)
- Automatically from website interactions (e.g., cookies, analytics)
- From third-party providers where required (e.g., online registration platforms)
6. Purposes for Collection
We use personal information to:
- Register and manage participants
- Ensure child safety, wellbeing, and appropriate care
- Communicate with parents/guardians about camp operations or emergencies
- Process payments and refunds
- Evaluate and improve programs
- Promote our programs with consent
- Meet legal and child safety obligations
7. Media and Photography Consent
- We may take photos/videos during camp for promotional or internal use.
- Parental/guardian consent is required before using any images of children.
- Consent can be withdrawn at any time by contacting us.
- If consent is withdrawn, we will remove future usage but cannot guarantee removal from past distributed materials.
8. Disclosure of Personal Information
We may disclose information to:
- Coaches, staff, and volunteers involved in program delivery
- Medical personnel in emergencies
- Service providers (e.g., payment processors, IT providers, email services)
- Government authorities where legally required
We do not sell personal information.
9. Overseas Disclosure
Personal information may be stored or processed by overseas service providers (e.g., cloud storage). We take reasonable steps to ensure overseas recipients comply with the APPs.
10. Data Security
We implement reasonable measures to protect personal information, including:
- Secure storage systems (digital & physical)
- Encryption and password-protected access
- Restricted access for authorized staff only
- Staff training on child privacy and safety
11. Retention of Personal Information
We retain personal information only as long as necessary:
- Medical/Emergency forms: 7 years after participant turns 18
- Registration/Payment records: 5 years
- Media/photos/videos: Until consent withdrawal or up to 3 years for promotional purposes
- General correspondence: 2 years
After this, data is securely deleted or de-identified.
12. Access and Correction
Parents/guardians may request access to or correction of their child’s personal information by contacting us.
Requests are typically processed within 30 days.
13. Direct Marketing
We may send information about future camps or programs.
You may opt-out at any time via:
- “Unsubscribe” link in emails
- Contacting us directly
14. Anonymity
Where practicable, interactions may be anonymous. However, identification is required for safe participation in children’s programs.
15. Notifiable Data Breaches (NDB)
In the event of a data breach that is likely to cause serious harm, we will:
- Assess the risk of serious harm
- Notify affected individuals
- Report the breach to the Office of the Australian Information Commissioner (OAIC) in accordance with the NDB scheme
16. Child Safety and Privacy
- Staff and volunteers are trained in child protection and privacy obligations.
- Children’s sensitive information is shared only on a need-to-know basis for safety and care.
- All records are securely stored and access is strictly controlled.
17. Complaints
If you believe we have breached privacy obligations, contact our Privacy Officer via email info@barcaacademyaustralia.com. We will respond within 30 days.

18. Changes to This Policy
This policy may be updated from time to time. The most current version is available on our website.
